Managing an Adult Rec League: Registration, Payments, and Scheduling
How to run an adult recreational sports league efficiently. Set up online registration, collect dues, manage teams, and communicate with players.
Running an adult rec league comes with a unique set of challenges. Unlike youth sports, there's no parent handling logistics — every player manages their own registration, payments, and schedule. And most of your players have jobs, families, and limited patience for clunky admin processes.
The Biggest Pain Points
Collecting dues is a nightmare. Venmo requests go ignored. Checks get lost. You end up chasing 30 adults for $150 each while trying to book field time.
Registration is scattered. Some people text you, some email, some just show up. You don't have a reliable roster until week 3.
Communication is fragmented. Group texts, email chains, Facebook groups — information gets lost and people don't show up because they didn't see the schedule change.
Scheduling is manual. You're maintaining a Google Sheet or sending calendar invites one at a time.
Where Clubside Fits, And Where It Does Not
Start with the part most software pages leave out. Clubside is built for youth organizations, where a guardian registers a player. There is no adult self-registration mode in the product today. Adult leagues are a direction we are working toward, not a shipped feature, and you should hear that from us rather than find it out after signup.
What adult organizers do instead: one organizer registers the roster, or each player registers themselves through the standard flow. The registration form is editable field by field, so an organizer can drop the questions that only make sense for a minor. It is a workaround, and it works, and it is not the same as software designed for your league.
The machinery underneath does not care how old your players are:
Online registration — Share a link. Players fill out their info and pay in 5 minutes from their phone. You get a clean roster instantly.
Automatic payment collection — Dues, tournament fees, equipment costs — all collected through Stripe at registration or via invoices. Money goes directly to your bank account.
Team dashboard — See who's registered, who's paid, who hasn't. Send invoices to stragglers with one click.
Calendar — Schedule games and practices. Players can RSVP from their phone.
Communications — Message your whole team or individual players. No more group text chaos.
Getting Started
Setting up takes about 10 minutes:
- Create your organization at clubside.io/get-started
- Pick your sport from the list (rugby, soccer, basketball, softball, and a dozen more), or choose Other
- Open Settings, Registration Form, and edit the fields down to what your players actually need
- Create your teams and set registration fees
- Share the registration link and watch registrations and payments come in
The Starter plan is free: one team, 25 players, full payment processing. No credit card required.
One caveat, repeated on purpose. The registration flow was designed around a guardian registering a player, so an adult league is fitting itself to youth-shaped software. Plenty of organizers find that trade worth it to stop chasing Venmo requests. If it is not worth it to you, that is a fair call.
